Meeting Minutes

The Newtown Cultural Arts Commission (NCAC) held a meeting on Thursday, March 11, 2010 at 7:00 PM at the Newtown Municipal Center, 3 Primrose Street, Newtown, CT.

Members Present:  Martin Blanco, Emily Howard, Jennifer Johnston, Rob Kaiser, Donna Mangiafico, Donna Monteleone Randle, Linda Watson
Members Absent:  Jennifer Rogers
Auxiliary Members Present:  None

Guest:  Kate Katcher, Georgia Monaghan

Jennifer Johnston called the meeting to order at 7:10 PM.

Jennifer Johnston announced that Kate Katcher was recently appointed to the NCAC.

The minutes of the February 22, 2010 meeting were approved with the following amendment:

The sentence reading “Part of the expenses for this show were advertising expenses for ads placed in all Hersam-Acorn papers (Redding Pilot, Ridgefield Press, etc.) which accounted for another 10 tickets sold.” should be moved to the first paragraph where the Whiffenpoofs concert was discussed.  The first paragraph should read “The January 30 Whiffenpoofs concert was discussed.  Martin Blanco reported that part of the expenses for this show were advertising expenses for ads placed in all Hersam-Acorn papers (Redding Pilot, Ridgefield Press, etc.).  He related that if the NCAC had sold 10 additional tickets as a result of these ads, the ads would have paid for themselves. Martin Blanco also reported that not only were the concert costs covered, but we made enough money to also cover the remaining costs of the December 5, 2009 Flagpole Radio Café.

Officer Reports:

Linda Watson reviewed the NCAC Financial Statement.  Ms. Watson discussed Paypal reporting, tracking gifts-in-kind, and creating a petty cash account.  The cost of the ticketing and marketing services being proposed by Vendini.com was questioned.  Jennifer Johnson will investigate further and will provide more information at the April meeting.

Jennifer Johnson announced that the newtownartscommission.org website has been updated.

Programs and Events:

The March 13th Flagpole Radio Café and April 8th Play with Your Food performances were discussed.  NCAC members are needed at both events to manage the ticket booth, set-up, clean-up, etc.  Kate Katcher also asked if the NCAC would offer group rates for the Play with Your Food performance.  It was agreed that a discount could be offered $25 per person if 20 tickets are purchased.

Rob Kaiser shared information about the Recycled Art Contest and announced that he is scheduled to meet with Kendra from The Newtown Bee for publicity.

Donna Monteleone Randle spoke about a proposed town-wide, multigenerational, concert/variety show.  Ms. Monteleone Randle shared information about coordinating the event and reported that she already has the support of several music teachers and other key volunteers.  Ticket pricing as well as the possibility of the NCAC donating a portion of the proceeds to create a scholarship or grant was also discussed.  A motion was made, seconded, and approved to promote this event slated for later this fall.

Georgia Monaghan discussed a literary journal in the works that will focus on Newtown cultural arts.  The arts and literary journal, “The Newtowner,” will showcase arts events, reviews, poetry, short fiction, travel writing, young writers and the like.  Ms. Monaghan also plans to include a list of cultural arts organizations and a calendar of events.

There being no further business, the meeting was adjourned at 9:15 PM.

The next meeting will be held on Thursday, April 8, 2010, 7:00 PM at the Newtown Municipal Center, 3 Primrose Street, Newtown, CT.
